Imagine Aina, an SPM student who sells hijabs online through Instagram and Shopee. Every day she receives orders, pays for packaging, ships parcels, and occasionally offers a discount. All of this can be translated directly into the concepts you study in KSSM Prinsip Perakaunan (code 3756). A small online business is a good example for understanding the accounting cycle because its transactions are simple, frequent, and something you can see for yourself.

We follow Aina's small business from its first transaction to its financial statements, connecting each step to the topics you learn in Form 4 and Form 5. The goal is not to predict questions, but to help you see how textbook theory plays out in a real business.

Identifying business transactions

The first thing to understand is the separate entity concept. Aina's own money and the money of her hijab business are two different things. When Aina puts in RM2,000 of her own money as opening capital, that is a transaction between the owner and the business, not just 'pocket money'.

Not every event in a business is an accounting transaction. Receiving a 'like' on Instagram is not a transaction, but receiving RM45 for a hijab is, because it involves monetary value and affects assets or equity. This skill of identifying transactions matters before any entry is made.

Source documents in an online business

In class you learn about invoices, receipts, credit notes and debit notes. An online business produces the same documents, just in digital form. A Shopee payment receipt, a bank transfer screenshot (proof of payment), and an invoice to a customer all serve as source documents.

For example, when a customer returns a defective hijab and Aina agrees to reduce the amount owed, she issues a credit note to that customer. This document becomes the basis for an entry in the Sales Returns Journal.

Recording in books of prime entry

Because Aina sells hijabs on credit to small retailers and also for cash to ordinary customers, she uses several books of prime entry. Credit sales are recorded in the Sales Journal, while credit purchases of hijab stock are recorded in the Purchases Journal.

Shipping costs and Shopee platform fees paid in cash or by bank transfer go in the Cash Book, like all other cash receipts and payments. The General Journal is only for transactions that fit no other book, such as buying packaging materials on credit. This arrangement helps a business with many small transactions so the ledger does not become overcrowded.

Double entry: two effects per transaction

Prinsip Perakaunan is built on the double-entry system, where every transaction has two effects: one debit and one credit. When Aina buys hijab stock worth RM800 in cash, the Purchases account is debited (RM800) and the Cash account is credited (RM800).

When she sells a hijab for RM120 and the customer pays by bank transfer, the Bank account is debited and the Sales account is credited. This principle keeps the accounting equation in balance: Assets = Owner's Equity + Liabilities remains equal after every entry.

Posting to the ledger and balancing

After being recorded in a book of prime entry, information is posted to its respective account in the ledger. Aina will have a Sales ledger, a Purchases ledger, a Debtors account for retailers who owe her, and a Creditors account for the fabric supplier.

At the end of the period, each account is balanced to find its closing balance. These balances are then listed in a Trial Balance to check whether total debits equal total credits. If it does not balance, it signals a possible error in the entries.

Year-end adjustments

A real business is rarely as tidy as a textbook. Perhaps Aina has paid a selling-app subscription fee six months in advance (prepaid expense), or has not yet paid last month's internet bill (accrued expense). Adjustments like these must be made so the financial statements show the true position.

Depreciation of equipment such as the laptop used to manage orders must also be calculated. The matching principle requires expenses to be matched with revenue in the same period, which is why adjustments become an important Form 5 topic.

Preparing financial statements

Finally, all information is brought together in the Income Statement and the Statement of Financial Position. Aina calculates gross profit by deducting the cost of sales from net sales, then deducts expenses such as platform fees and depreciation to arrive at net profit.

The Statement of Financial Position shows assets (bank balance, unsold hijab stock, equipment), liabilities (money owed to the supplier), and owner's equity. From one small business, Aina can now see whether her effort is profitable and how much stock is left unsold.
