Explanation

A source document is an original document that serves as written evidence that a business transaction has taken place between the business and another party such as a customer, supplier or bank. The source document is the basis for the entry in the books of prime entry (journals or the cash book) before it is posted to the ledger. Without a source document, an accounting entry cannot be supported and is not valid for audit purposes. In Content Standard 3.2, students must recognise the eleven main source documents, understand the function of each one, and be able to identify the correct document for each type of transaction.

For cash transactions, several source documents are important. A Bil Tunai (cash bill) is issued by the seller when a cash sale occurs, showing the details of goods, quantity, price and the amount paid immediately. A Resit (receipt) is proof of receiving cash or a cheque from a customer, and is issued by the party who receives the payment. A Slip Daftar Tunai (cash register slip) is printed by the cash register in a retail shop to record daily cash sales. A Keratan Cek (cheque counterfoil) is the stub remaining in the cheque book after a cheque is issued, and serves as evidence of a payment made by cheque. A Slip Bank (bank pay-in slip) is used when the business deposits cash or cheques into its bank account and serves as proof of the deposit.

For credit transactions, the main source document is the Invois (invoice). An invoice is issued by the seller to the buyer when goods are sold on credit. It contains the details of goods, list price, trade discount (if any) and the amount to be paid later. For the seller, the invoice is the source for recording a credit sale; for the buyer, the invoice received is the source for recording a credit purchase. A Nota Debit (debit note) is issued to increase the amount owed by a customer, for example when the original invoice undercharged the customer or when there are additional charges such as packing costs. A Nota Kredit (credit note) is issued by the seller to reduce the amount owed by a customer, for example when the customer returns goods (sales returns) or when the original invoice overcharged the customer.

In addition, there are source documents in the form of vouchers and memos. A Baucar Pembayaran (payment voucher) is an internal document that shows the approval and details of a payment made by the business, and usually has supporting evidence such as an invoice or receipt attached. A Baucar Tunai Runcit (petty cash voucher) is used to record small expenses paid from the petty cash fund, such as buying stamps, tea or stationery. A Memo is an internal document that records transactions not involving an outside party, for example the taking of goods by the owner for personal use (drawings) or the correction of errors.

The core skill in this standard is identifying the document for a transaction. For every transaction, students must be able to determine the correct source document: a cash sale produces a cash bill or cash register slip; the receipt of money produces a receipt; a credit sale or purchase produces an invoice; the return of goods produces a credit note; an additional charge produces a debit note; a payment by cheque produces a cheque counterfoil; and internal transactions such as drawings produce a memo. Understanding the relationship between the type of transaction and its source document must come before students learn how these documents are recorded in the books of prime entry and the ledger.

Worked examples

Example 1: Invoice for a credit sale

Perniagaan Perabot Sinar Kayu sells 10 chairs at RM120 each on credit to Kedai Rehat Damai on 5 May. A 10% trade discount is given.

List price = 10 x RM120 = RM1,200. Trade discount = 10% x RM1,200 = RM120. Invoice total = RM1,200 - RM120 = RM1,080.

The source document is the Invois (invoice) issued by Sinar Kayu to Kedai Rehat Damai. For the seller (Sinar Kayu): Debit Kedai Rehat Damai (Debtor) RM1,080; Credit Sales RM1,080. For the buyer (Kedai Rehat Damai): Debit Purchases RM1,080; Credit Sinar Kayu (Creditor) RM1,080.

Example 2: Credit note for sales returns

On 8 May, Kedai Rehat Damai returns 2 chairs to Sinar Kayu because they are damaged. The price per chair after trade discount is RM108 (RM120 - 10%).

Value of returns = 2 x RM108 = RM216. The source document is the Nota Kredit (credit note) issued by Sinar Kayu to Kedai Rehat Damai.

For the seller (Sinar Kayu): Debit Sales Returns RM216; Credit Kedai Rehat Damai (Debtor) RM216. For the buyer (Kedai Rehat Damai): Debit Sinar Kayu (Creditor) RM216; Credit Purchases Returns RM216.

Example 3: Receipt and petty cash voucher

On 10 May, Sinar Kayu receives RM500 cash from Kedai Rehat Damai as part payment of its debt. Sinar Kayu issues a Resit (receipt) as proof of the payment received. Entry: Debit Cash RM500; Credit Kedai Rehat Damai (Debtor) RM500.

On the same day, an employee buys stationery for RM18 paid from petty cash. The source document is the Baucar Tunai Runcit (petty cash voucher). Entry in the petty cash book: Debit Stationery RM18; Credit Petty Cash RM18.

Practice

State the appropriate source document for each of the following transactions: (a) selling goods for cash to a customer; (b) receiving payment of debt from a debtor; (c) returning faulty goods to a supplier; (d) the owner taking goods for personal use.
Answer: (a) Bil Tunai (cash bill), or a Slip Daftar Tunai for retail sales, because it is a cash sale and the seller issues a cash bill. (b) Resit (receipt): issued by the business as proof of receiving money from the debtor. (c) Nota Kredit (credit note): received from the supplier because goods are returned (purchases returns for the business). (d) Memo: an internal transaction (drawings) not involving an outside party.
Kedai Elektrik Cahaya buys 5 fans at RM80 each on credit from Pembekal Sejuk Bayu, with a 5% trade discount. Calculate the invoice total and show the double entry in the books of Kedai Elektrik Cahaya.
Answer: List price = 5 x RM80 = RM400. Trade discount = 5% x RM400 = RM20. Invoice total = RM400 - RM20 = RM380. The source document is the Invois (invoice) received from Pembekal Sejuk Bayu. Entry in the books of Kedai Elektrik Cahaya (buyer): Debit Purchases RM380; Credit Pembekal Sejuk Bayu (Creditor) RM380.
Explain the difference in function between a Debit Note and a Credit Note, and give one situation for each.
Answer: A Debit Note (Nota Debit) is issued to increase the amount owed by a customer. Situation: an undercharge on the original invoice, for example a price recorded too low, or additional charges such as transport costs. A Credit Note (Nota Kredit) is issued to reduce the amount owed by a customer. Situation: the customer returns faulty goods (sales returns), or there was an overcharge on the original invoice. Both documents are issued by the seller to the buyer.
For Perniagaan Roti Lembut, list the source document involved when: (a) depositing daily cash collections of RM1,500 into the bank account; (b) paying shop rent of RM900 by cheque; (c) paying RM12 for cooking oil from petty cash.
Answer: (a) Slip Bank (bank pay-in slip): used when cash is deposited into the bank account as proof of the deposit. Entry: Debit Bank RM1,500; Credit Cash RM1,500. (b) Keratan Cek (cheque counterfoil): the stub remaining in the cheque book after the cheque is issued, as proof of payment by cheque. Entry: Debit Rent RM900; Credit Bank RM900. (A payment voucher (Baucar Pembayaran) may also be prepared as an internal approval document.) (c) Baucar Tunai Runcit (petty cash voucher): proof of a petty cash expense. Entry: Debit General Expenses/Cooking Oil RM12; Credit Petty Cash RM12.
